- What’s the earliest date I can log in to complete my pre-entrance health requirements?

- Who is required to complete and submit pre-entrance health requirements?

All full-time students and all health professions students.
- Can I waive any vaccines?

Yes. Although Hepatitis B* and Meningococcal vaccines are recommended for your protection and the protection of others, Virginia law allows for these vaccines to be waived. You must submit the appropriate waiver form.
*Health professions students have additional Hepatitis B requirements.
- Do I need to fill out the pre-entrance health form?

The form is provided for your convenience. Student Health and Wellness will accept official documentation of required information verifying compliance in lieu of the pre-entrance health form.
- Do I need to get a physical before I begin classes?

The pre-entrance health requirements are required for matriculation. While most of the requirements do not require a physical exam, we recommend that you meet with your local healthcare provider before coming to UVA to ensure that plans are in place to ensure a smooth transition.
- Why don’t I see the records I submitted on my HealthyHoos Portal?

Due to the volume of immunization records and pre-entrance health forms we receive, it may take up to 10 business days to process the information you submit on HealthyHoos. If you do not see your immunization records processed after this timeframe, please email [email protected].
- Why did I receive a late charge for the pre-entrance health requirements?

The late charge is applied when you have not taken any action regarding pre-entrance health requirements by the deadline (August 1 for fall entry and January 31 for spring entry). If you receive a $100 late charge on your SIS account and you’d like to appeal, follow the instructions on the Appeal Form. Appeal forms are only accepted after a late charge has been added to your account and must be submitted within 15 days of the late charge being added. After this deadline, appeal forms are no longer accepted.
- Why do I have a hold on my registration?

A registration hold is placed on October 1st (fall entry) or March 1st (spring entry) when you have not completed all requirements by the deadline. This will prohibit you from registering for classes. The hold will be removed once you have submitted proof demonstrating compliance with all pre-entrance health requirements. Check your HealthyHoos Portal for information regarding your missing requirements. You may also contact Student Health and Wellness Medical Records if you are not able to understand the information on HealthyHoos at [email protected] or 434-924-1525.
- Can I get required immunizations at Student Health and Wellness once I arrive on Grounds?

Pre-entrance health requirements prevent outbreaks of infectious disease that could quickly spread through our close-knit campus community. Students are strongly encouraged to complete all pre-entrance health requirements before arriving on Grounds to protect themselves and others from communicable disease.
Students may complete missing pre-entrance health requirements at the Department of Student Health and Wellness (SHW) if they are eligible to be seen based on immunization appointment availability. Other options are often more convenient and participate with your insurance. These options include your local pharmacy, primary care provider, or local health department. Please note that SHW charges for vaccinations and tuberculosis testing. Unless you have the Student Health Insurance Plan, these charges will post to your SIS account.
Obtaining Previous Immunization Records
- I don’t have my records from childhood. Where can I obtain them?

- Students who received vaccines in the state of VA: As a courtesy to you, Student Health and Wellness will query the Virginia Immunization Information System (VIIS) to pull information regarding your vaccination history. If you have any missing requirements, or we cannot access your information, we will send you a message with details.
- Students who received vaccines in the United States, but outside of VA (except AK, AR, HI, NH, ME, VT, and DC): You can request that your immunization records from other states be sent to Student Health and Wellness. You must initiate this process; our staff cannot do it on your behalf. To initiate this request, log into the HealthyHoos Portal and provide address information for states where you have lived so this immunization information can be retrieved. If you have any missing requirements, or we cannot access your information, we will send you a message with details.
- If the options above aren’t applicable and you don’t have a copy of your immunization records, contact any previous medical providers to see if they have documentation. Prior high schools, universities, or your local health department may also have a copy of your vaccine record. Click on the link for more tips for locating old immunization records. If you cannot locate records, schedule a visit with a healthcare provider to discuss vaccination and/or lab tests, which are listed as options on the pre-entrance health form.
- I sent my records to a different UVA department a long time ago. Why don’t you have my records on file?

Different departments within UVA do not necessarily use the same database to store student information. To ensure that your UVA Student Health and Wellness immunization record has been updated, you must submit your immunization records directly via the HealthyHoos Portal.
- I have attended another state university. Am I still required to complete the pre-entrance health requirements?

Yes, you are still required to complete the pre-entrance health requirements at UVA. If needed, you may contact your previous school and ask them to send a copy of your immunization records on your behalf.
Submitting Immunization Records
- How do I submit my immunization documentation?

The preferred method for submitting documentation is through the HealthyHoos Portal. Please refer to our detailed instructions for Submitting Immunization Records on this PEHF page.
- How do I know if you have received my records?

Once you have submitted your immunization documentation to UVA Student Health and Wellness and it has been processed (may take up to 10 business days), you can view/download you records by logging into the HealthyHoos Portal, going to “Immunizations” and clicking the “Print” button. Students will also receive emails from the Medical Records Team indicating whether they are compliant or still in need of completing immunization requirements.
- How do you communicate with me if there is an issue with my immunization status?

Student Health and Wellness will send you a secure message in the HealthyHoos Portal and email to your UVA email address if there is an issue with your submission. Please do not ignore these messages! Immunization non-compliance may prevent you from registering for classes.
- I was a UVA student last semester and never submitted any immunization records. Now I have a hold on my account and cannot register for next semester. Why was I allowed to register previously, but not now?

Updating Immunizations
- Are all of the required immunizations available at Student Health and Wellness?

Yes, we offer all of the immunizations necessary to meet the pre-entrance health requirements for eligible students. Prices for each vaccination are available on our Price List webpage.
- Will my health insurance pay for my immunizations or lab titers?

- If your health insurance is not through the UVA Student Health Insurance Plan, immunization charges are billed to your SIS account: The charge(s) will be labeled as “Referred Charge.”
- To request reimbursement for these charges, you will need to submit a claim to your insurance provider. The walkout statement (available on the HealthyHoos Portal) is your receipt for services provided by SHW. It contains the information you will need in order to obtain reimbursement from your insurance company.
- If your health insurance is through the UVA Student Health Insurance Plan, charges are submitted to the insurance plan by SHW on your behalf. Patients do not need to submit these claims. SHW immunization and lab charges are covered by the UVA Student Health Insurance Plan, so you should not receive charges on your SIS account.
- If your health insurance is not through the UVA Student Health Insurance Plan, immunization charges are billed to your SIS account: The charge(s) will be labeled as “Referred Charge.”
- What are the charges for tuberculosis testing at UVA?

- I am not a student at UVA yet. Can I use your clinic to get vaccines or have lab titers drawn?

Incoming fall students may be seen at SHW during the summer if they have turned in the pre-entrance health form or immunization records and pay the summer visit charge. Incoming spring students may be seen starting January 1.

- How do I access my immunization records online?
