Administrative Processes

Care and Support Services provides support and resources for students through a variety of administrative processes led by our administrative team

Withdrawing and Returning from the University

CASS completes one of the administrative steps in both the withdrawal and reenrollment processes for students in partnership with academic affairs and the University Registrar. CASS approves the ‘Leaving the University’ and ‘Returning to the University’ forms in SIS. Students are not required to meet with CASS to complete a withdrawal or return, but are welcome to request a meeting for any questions or supportive resources. Withdrawing

While your form is being processed, you will receive a message from CASS which outlines reminders, resources, and suggestions related to withdraws. You are not required to respond to this message, but we recommend you save it and share it with your support network for future reference.

Returning

If returning from a personal, military service, or academic withdrawal, CASS will automatically approve your Returning to the University form in SIS once approved by academic support. If returning from a medical or health-related withdrawal, CASS will approve your Returning to the University form once we receive confirmation from Student Health and Wellness (Counseling and Psychological Services or Medical Services) that you have fully completed the return process through the HealthyHoos platform. Education Abroad

Students who apply for an education abroad opportunity through or with the University are subject to review by CASS. If CASS has information about health or safety plans while studying abroad, the student will receive messaging from both CASS and ISO about meeting with CASS. The purpose of the meeting is to discuss your plans, and review resources to mitigate potential concerns related to your success while abroad.

Students who have received a message from CASS requesting a meeting, should use the information in the email signature to schedule a meeting. Educational Records

CASS may play a role in assisting students with their educational record depending on the nature of the records request. To learn more about educational records, including academic records, personal information, enrollment verification, transcripts, and students’ rights under FERPA, visit the University Registrar’s page. Per the University’s policy STU-002: Rights of Students at the University of Virginia Pursuant to the Family Educational Rights and Privacy Act (FERPA), students who wish to review their Education Records must submit a request in writing to the official custodian of the record. Students who do not know the identity of the official custodian for the requested records may submit a request to the dean of their school. To the extent possible, students should specify the exact type, source, and date of the Education Record they wish to inspect and review.

  • Required Modules and Holds: If a Student Affairs/Required Module hold is still on your SIS account after completing modules, please email [email protected]. CASS does not have the ability to remove student module holds on SIS
  • Disciplinary Clearances (Graduate School, Transfer, Security Clearances, etc.): For completing a disciplinary clearance/check form, please contact Policy, Accountability, and Critical Events (PACE) at [email protected]. CASS does not complete this form
  • Arrest Self-Disclosure: Send any Arrest Self-Disclosures to the Policy, Accountability, and Critical Events via the Arrest Self-Disclosure Form for review and potential follow up. If you have questions about the form or requirement, please contact the PACE team
